Can you change a VFS appointment?

Usually you can, and on a contested route you usually should not. Rescheduling releases the appointment you hold before it gives you another one, and on a route where openings are rare that trade can leave you with nothing.

You have an appointment, something has moved — a work trip, a document that has not arrived, a better date appearing — and you want to change it.

Whether you can is usually a yes. Whether you should is a different question, and on a busy route the honest answer is often no.

What rescheduling actually does

The mechanics matter here. Rescheduling is not a swap. In practice it means giving up the appointment you hold and taking a different one, and the order of those two events is what makes it risky.

On a quiet route that is fine: plenty of dates, pick another. On a route where openings appear once in roughly a thousand calendar checks, the appointment you are holding is scarcer than it feels, and the alternatives you can see now may not still be there when you have released it.

The failure mode is specific and it happens: someone reschedules to a marginally better date, the new one does not complete, and they are left with neither.

Before you touch it

Three questions, in order.

Is the change actually necessary? A date that is inconvenient but attendable is worth more than a date that is ideal and hypothetical. Attending an appointment you would rather not have taken is a smaller loss than losing your place in a queue with no timetable.

Can the reason be solved another way? Missing documents are the most common trigger, and many centres will let you attend and supply something afterwards — worth asking before you give up a slot over it. A colleague covering a work commitment is cheaper than restarting the search.

What does your route actually look like? If your direction page shows regular openings, the risk is small. If it shows the pattern on our contested routes, treat the appointment you hold as the scarce thing it is.

Cancelling

If you genuinely cannot attend, cancel rather than not turning up.

Not attending without cancelling is recorded as a no-show, and on some routes repeated no-shows carry consequences for the account. Cancelling also returns the appointment to the pool, which is a small courtesy to whoever is next — and on these routes there is definitely someone next.

Fees are a separate matter. Consular fees and service charges are generally not refunded once paid, so a cancellation is unlikely to be cost-free. What you actually paid and to whom is worth being clear about before you assume anything comes back.

The 2026 wrinkle

Appointments are now bound to a specific application reference rather than held as a generic slot. Practically that means you cannot pass yours to someone else, and you should be sceptical of anyone offering to do that in either direction.

It also means the confirmation step applies again when you rebook: a one-time code goes to the applicant and has a short life. What changed.

What makes it worse

  • Rescheduling speculatively. Releasing a confirmed appointment to look for a better one, on a route where you may not find one, is the version of this that goes wrong.
  • Not turning up rather than cancelling. Costs you the same and adds a no-show to the account.
  • Rescheduling repeatedly. Some routes limit how many times you can, and each attempt is another chance to end up with nothing.
  • Buying or selling an appointment because you cannot use yours. The appointment is bound to an application, and trading them is the practice that has been prosecuted.

If you need a different date

Tell us what changed. Where a route is quiet, moving is straightforward. Where it is not, we would rather look for the replacement first and give up the current appointment only when there is something to replace it with — which is the opposite order from doing it yourself, and the whole reason the risk is manageable.
